Platform Overview
Ayiza is a financial and business management platform that brings together accounting, banking, invoicing, tax compliance, and master data management in one place. Whether you are posting journal entries, reconciling bank statements, or filing VAT returns, Ayiza provides a unified workspace for your day-to-day financial operations.
This guide walks you through the basics: how to log in, find your way around, and work with the features you will use most often.
Logging in
- Open the Ayiza URL provided by your administrator.
- Enter your username and password.
- Click Log In.
After successful login you will land on your home page. If your administrator has assigned you a home dashboard, you will see key figures and shortcuts to frequently used areas.
If you have forgotten your password, click the Forgot Password link on the login page. A reset link will be sent to the email address associated with your account.
Navigation
The left-hand sidebar is your main way of moving around Ayiza. It is organised by business function so you can find things by what you want to do rather than by technical module.

Click any section to expand it. Some sections contain sub-groups; for example, Master Data expands to show Business Partners, Products & Services, and Properties.
You will only see the sections and tiles that your administrator has given you permission to access.
Working with lists and tables
Most screens in Ayiza display data in a table. Tables share a common set of features across the platform.
Sorting
Click any column header to sort by that column. Click again to reverse the sort direction. A small arrow icon indicates the active sort column and direction.
Column visibility
Not every column is relevant every time. To show or hide columns:
- Click the Column Settings icon (usually near the top-right of the table).
- Toggle the columns you want to see.
- Your selection is remembered for next time.
Exporting to Excel
To download the current table data as an Excel file:
- Click the Export button above the table.
- The export respects your active filters and column selection — you get exactly what you see on screen.
Filtering and search
Ayiza provides several ways to narrow down the data you see.
Filter bar
At the top of most list screens there is a filter bar with fields specific to that view. For example, on the Supplier Invoices screen you might filter by company code, supplier, status, or date range.
- Set the values you want to filter by.
- Click Apply (or press Enter) to refresh the list.
- Click Reset to clear all filters.
Column filters
In addition to the filter bar, individual table columns may have their own filter. Look for a small filter icon in the column header. This is useful for quick ad-hoc filtering without changing the main filter bar.
Saved filter variants
If you find yourself using the same filter combination repeatedly, you can save it as a variant:
- Set up your filters the way you want them.
- Click Save Variant (or the bookmark icon).
- Give the variant a name and save.
- Next time, select your saved variant from the dropdown to apply those filters instantly.
Variants are personal — each user manages their own.
Common actions
Across the platform you will encounter a consistent set of actions. Here is what each one does.
| Action | What it does |
|---|---|
| Create | Opens a form to create a new record (invoice, journal entry, business partner, etc.). |
| Edit | Opens an existing record for modification. Only available when the record is in a status that allows changes (e.g. Draft). |
| Delete | Removes a record. Typically only allowed for records that have not been posted. You may be asked to confirm. |
| Post | Finalises a document and updates the ledger. Once posted, the document can no longer be edited — only reversed. |
| Reverse | Creates a reversal entry that cancels out a posted document. The original document remains for audit purposes. |
Posting is permanent. Always review a document carefully before posting. If you spot an error after posting, use the Reverse action and then create a corrected document.
Multi-currency support
Ayiza supports organisations that operate in multiple currencies. Every monetary amount in the system can be tracked in up to four currencies at once.

| Transaction currency | The currency of the original business transaction. This is the currency on the invoice, payment, or journal entry. | A supplier invoice received in USD. |
| Company code currency | The local reporting currency of the company code that owns the transaction. | The UK subsidiary reports in GBP. |
| Group currency | The reporting currency of the parent group, used for consolidated reporting. | The group reports in EUR. |
| Functional currency | An additional reporting currency, if required by local regulations or management. | A secondary regulatory currency. |
When you enter a transaction in one currency, Ayiza automatically converts the amounts into the other currency layers using the exchange rates configured in the system. You do not need to calculate these yourself.
Exchange rates are managed under Configuration. If a rate is missing for a particular date and currency pair, the system will alert you when you try to post.
